E10 M - Passive voice in factual and formal writing

Mini-description: Use known passive forms in reports, descriptions and processes. Decide when active wording is clearer.

Start with the image and video. What is in focus: the person who acts, or the action/result? Write two short examples. Do not translate everything.

I-can goals

  1. Choose the focus: I can decide whether active or passive voice fits my purpose.
  2. Describe processes: I can use passive forms for steps and results.
  3. Write factual reports: I can report findings in a clear, neutral style.
  4. Explain choices: I can say why I used active or passive wording.
  5. Revise: I can find passive errors and improve unclear sentences.

Before you start

You already know forms such as is made, was checked, has been tested and must be completed. In this course, the main question is not only How is the passive formed? but Why is it useful here?

Quick check: Change The team checks the equipment every Friday into the passive. Then ask yourself: Which version is better if the team is important?

Media challenge: focus on the process

Look at the production line. Say three factual sentences. Start one with Workers ... and two with the product or process. Compare the effect.

Useful pattern: The product is moved ... / Parts are checked ... / Workers inspect ...

Listening and Viewing

Before viewing: Predict two reasons for using the passive.

While viewing: Listen for the difference between active and passive focus. Note one present passive and one past passive.

After viewing: Write three sentences about a school process. Use passive voice only where the action or result is more important than the actor.

Reading: a short factual report

Bike-rack safety check – model report

On Monday, a safety check was carried out at the school bike racks. Twenty-four spaces were inspected. Two loose metal parts were found, and one damaged sign was recorded. The area was photographed for the maintenance file. The caretaker was informed at 11:30. He repaired the loose parts on the same day. The damaged sign will be replaced next week.

Most of the report uses passive forms because the inspection and results are in focus. The sentence He repaired the loose parts is active because the person responsible for the action is relevant.

Reading task: Mark each passive form. Then underline the active sentence and explain why it is clearer there.

Context vocabulary

Verb or phrase Useful context
inspect check equipment or places carefully
record write down a finding
identify find or name a problem
remove take something away
measure find a size, amount or value
carry out perform a test, check or study
findings results of a check or investigation
recommend say what should happen next

Use these words in context. Do not learn them as isolated translations.

Functional grammar: form and purpose

Core form: subject + form of be + past participle.

Function Example Why?
Present process The bottles are cleaned before reuse. The process is in focus.
Past report Three faults were found. The result is important.
Present perfect result The equipment has been tested. The completed result matters now.
Modal instruction The form must be signed. The required action is central.
Two objects The class was given a checklist. The receiver becomes the focus.
Verb with preposition The problem was dealt with quickly. The problem becomes the focus.

For Class 10 M-level in Baden-Württemberg, passive constructions with verbs with two objects and verbs with prepositions are explicitly part of the grammar competence.

When passive wording helps

Use passive voice when the process, result or receiver is more important than the actor, when the actor is unknown, or when the actor is obvious and adds no useful information.

The samples were tested at 10 a.m. is useful in a lab report if the testing matters more than the tester.

When active wording is clearer

Use active voice when responsibility, decision-making or a specific person is important.

The technician stopped the machine after the alarm is clearer than hiding the technician if responsibility matters.

Passive voice is not automatically better or more formal. Good factual writing chooses the clearest focus.

Watch selected parts as an extension: formation, emphasis and situations where passive voice is not the best choice.

Process language

A typical water-treatment process can be described with passive forms because the stages are central.

Model: Raw water is collected. Larger material is removed. Small particles are separated. The water is filtered and disinfected before it is stored or distributed.

Task: Use the diagram to add three more factual sentences. Do not invent details that are not visible or supported.

Pronunciation for clear speaking

Say the auxiliary and participle as one meaningful unit: was TESTed, were SENT, has been CHECKED. Make final sounds clear enough to show the verb form.

Your goal is understandable English, not accent-free English. Natural standard pronunciation can vary.

Speaking: explain and react

Choose the assembly-line, water-treatment or recycling image. Speak for 60–90 seconds.

  1. Start with the purpose of the process.
  2. Describe at least four steps.
  3. Use passive voice for process steps.
  4. Use one active sentence where the actor matters.
  5. React to one follow-up question without reading a full script.

A recording is optional. Keep recordings private unless you actively choose to share them in a protected school setting. Do not upload recordings without consent.

Writing: short formal report

Write 130–170 words about a fictional school check, experiment or process.

Use this structure:

  1. Purpose: Why was the check carried out?
  2. Procedure: What was done?
  3. Findings: What was found?
  4. Action or recommendation: What should happen next?

Use at least four suitable passive forms, but keep active voice where responsibility is important.

Do not create real personal profiles. If a task uses a workplace, application or school role, keep all names and profiles fictional.

Mediation: purpose before translation

Situation: A visiting English-speaking student needs the key information from a German school notice.

German source notes: Die Fahrradständer werden am Freitag überprüft. Beschädigte Räder sollen vorher entfernt werden. Der Zugang bleibt während der Kontrolle gesperrt.

Your task: Give the visitor the relevant information in natural English. Do not translate word for word. Adapt the message to the person and purpose.

Help box

Use this decision path:

  1. What should be in focus? Actor → often active. Action, result or receiver → passive may fit.
  2. Which tense is needed? Choose the correct form of be.
  3. Which participle is needed? Check the past participle.
  4. Is a by-phrase useful? Add it only if the actor matters.
  5. Is the sentence still clear? If not, rewrite it actively.

Feedback and revision

Use three short feedback questions on a partner's text:

  1. Focus: Is it clear why active or passive voice was chosen?
  2. Form: Are the form of be and the past participle correct?
  3. Clarity: Would an active sentence make responsibility clearer?

Useful feedback stems: The focus is clear because ... / Active wording would be clearer in ... / Check the passive form in ...

Keep the writer's own text. Suggestions should support revision, not replace the complete text.

Error analysis

Correct the sentence and explain the problem.

Problem Better version
The samples tested yesterday. The samples were tested yesterday.
The door was lock at 6 p.m. The door was locked at 6 p.m.
The results have checked. The results have been checked.
The class was gave a checklist. The class was given a checklist.
The issue was dealt yesterday. The issue was dealt with yesterday.

Do not only correct the form. Ask whether passive voice is useful in the sentence at all.

Source and AI check

For factual writing, check names, dates, claims and sources before you use them. AI-generated information can be incomplete or wrong. Keep your own wording and verify important facts with reliable sources.

Do not send personal data, recordings, school-internal texts or other people's work to external AI services without permission. Avoid cultural stereotypes and unsupported generalisations.

Transfer: from grammar to communication

Describe the recycling cycle as a process. Then rewrite one sentence actively to name responsibility.

Example question: Which version helps the reader more, and why?

Transfer the same decision to a formal email, article or report: formal style does not mean using as many passives as possible. Choose the form that makes the message clear.
