Document Management
Introduction
Document management is the organized control of documents from the moment they are created or received until they are archived or securely disposed of. In vocational practice, these documents may include quotations, purchase orders, invoices, delivery notes, work instructions, maintenance reports, drawings, contracts, meeting notes, safety procedures, customer correspondence, forms, photographs, and emails.
Good document management helps you find the right information quickly, work with the correct version, protect confidential information, show who approved a document, and keep evidence of important business activities. Classification, Folders, and File Plans
Classification gives documents a predictable place. A good file plan groups information according to business functions, processes, projects, customers, cases, products, locations, or another logic that colleagues can understand consistently.

A useful folder structure is usually simple enough for everyday work. Too many levels make navigation slow, while too few levels create large mixed collections. Avoid creating personal structures that only you understand. Shared information should follow the team's agreed structure.
For example, a training company might organize documents as Customers → Customer name → Orders → Year → Order number. A maintenance team might use Sites → Building → Equipment → Maintenance type → Year. The best structure depends on how the organization works and how users need to retrieve information.
File Naming Conventions
A good file name gives enough context to identify a document before opening it. Your organization may define a pattern such as:

A good naming convention should make files sortable, understandable, and distinct. Dates written as year-month-day usually sort chronologically. Version labels should follow one agreed method. Status words such as Draft, Review, Approved, or Superseded should have defined meanings.
Do not rely on names such as final.docx, final2.docx, or really-final-new.docx. These names do not reliably tell users which version is authoritative.
Metadata, Indexing, and Search
Metadata is information that describes a document. Useful metadata can include title, creator, date, department, customer, project, document type, confidentiality level, status, version, retention category, equipment number, or case number.

Metadata improves search because users do not have to remember an exact folder path or file name. A technician could search for all inspection reports for one machine. An accounts team could filter invoices by supplier, year, status, or cost center. A training office could retrieve all current apprenticeship agreements for one cohort.
Indexing makes documents retrievable by their descriptive fields or content. Some systems support full-text search, while others rely more strongly on controlled metadata. Good systems often combine both.
Metadata quality matters. If one person writes Quality, another writes QA, and another writes QMS for the same category, search results may become inconsistent. Controlled lists, required fields, and clear definitions can reduce this problem.
Version Control and the Single Source of Truth
Version control tracks changes to a document over time. It can show who changed a document, when it changed, and which version is current. Depending on the system, users may be able to compare revisions or restore an earlier version.
A practical version scheme might use v0.1, v0.2, v0.3 for drafts and v1.0 for the first approved release. Later approved revisions could become v2.0 and so on. Another organization may use a different scheme. What matters is that the rule is documented and understood.
A single source of truth means that users know where the authoritative document lives. Sending many editable attachments by email creates uncontrolled copies. Where possible, share a controlled link to the document in the approved system instead of circulating duplicate files.
When a new version replaces an old one, the old version may need to remain in the history for traceability, but users should be prevented from accidentally treating a superseded copy as current.
Check-In, Check-Out, and Collaboration
Some document systems use check-out to reserve a document for editing and check-in to return the updated version. Other systems support simultaneous editing. Both approaches can work if users understand how conflicts are prevented and how the official version is identified.
Version history is not a substitute for good review. A document may have a detailed revision history and still contain incorrect information. Technical, commercial, safety-related, or regulated documents may require formal review and approval before release.
Access Control, Confidentiality, and Security
Document management must balance availability with protection. People should be able to access the information they need for their role, but confidential information should not be open to everyone.

Access control can determine who may view, edit, approve, download, print, share, or delete a document. A common principle is least privilege: give users the minimum access needed to perform their work.
Examples of information that may need additional protection include personnel records, medical information, payroll data, customer personal data, passwords, commercial offers, security plans, legal correspondence, or unreleased product designs.
Good practice also includes secure authentication, careful sharing, approved storage locations, logging where appropriate, timely removal of access when roles change, and reporting suspected unauthorized disclosure. Follow your employer's information-security and data-protection rules.
Audit Trails
An audit trail is a chronological record of relevant actions in a system. Depending on the system, it may show uploads, edits, approvals, downloads, permission changes, or deletions. Audit trails support accountability and can help investigate mistakes or incidents.
An audit trail is useful only if it is protected from inappropriate alteration, kept for an appropriate period, and reviewed when needed.

Paper documents can be captured electronically by scanning. Before scanning, check whether the document is complete, whether all pages belong together, and whether color or high resolution is necessary for the business purpose.

Optical character recognition or OCR converts text in scanned images into machine-readable text. OCR can make scanned documents searchable and can support data extraction, but it can make mistakes. Poor print quality, handwriting, unusual layouts, damaged pages, and low-resolution scans can reduce accuracy.
After scanning, a quality check should confirm that the image is readable, complete, correctly oriented, correctly indexed, and linked to the right case or metadata. If the paper original may be destroyed, follow the organization's legal, evidential, quality, and retention requirements before doing so.

File Formats
Choose file formats according to purpose. Editable working documents may need native office formats, while approved distribution copies may use more stable formats such as PDF. Images, CAD files, spreadsheets, databases, email messages, and audiovisual records may require other formats.
Do not assume that converting a file to PDF automatically makes it trustworthy or permanent. Authenticity depends on controls such as source, approval, permissions, version history, signatures where required, and reliable storage.
Email and Messaging as Business Documents
Important business information can arrive through email, chat, messaging platforms, or collaboration tools. The medium does not determine whether the content is important. An email approving a price change, a message confirming a technical decision, or an attachment containing a signed agreement may need to be captured as part of the official business record.
Do not treat your inbox as a permanent filing system when organizational policy requires important messages to be stored elsewhere. Capture the message together with enough context to understand who communicated, what was decided, when it happened, and which attachments belong to it.
Workflows, Reviews, and Approvals
A Workflow is a defined sequence of tasks through which a document moves. Workflows can reduce uncertainty by showing who performs each step, what status the document has, and what happens next.
A purchase invoice workflow might move from receipt to validation, cost assignment, approval, payment, and filing. A technical instruction might move from drafting to peer review, safety review, approval, publication, and later revision.
Automated workflows can send reminders, enforce required fields, prevent skipping mandatory approvals, and record timestamps. However, automation should support a sound process rather than hide a poor one.
Controlled Documents
Some workplaces use controlled documents such as procedures, specifications, work instructions, quality forms, drawings, or safety instructions. These documents may require formal approval, revision identifiers, issue dates, defined owners, and controls that prevent accidental use of obsolete versions.
At the point of use, employees should be able to identify the current approved version. Printed copies may become uncontrolled unless a specific process keeps them synchronized with the master version.
Retention, Archiving, and Disposal
A retention schedule states how long categories of records should be kept and what should happen at the end of that period. Retention periods can come from legal duties, contracts, industry requirements, business needs, limitation periods, historical value, or organizational policy.
Do not invent retention periods yourself. Use the schedule approved by your organization and, where necessary, seek guidance from the responsible records, legal, compliance, quality, or data-protection function.

Archiving is not the same as keeping everything forever. Archiving is a controlled process for preserving records that still have business, legal, evidential, or historical value but are no longer needed for daily work.
When the authorized retention period ends, records may be eligible for disposition. Disposition can mean secure destruction or transfer to an archive, depending on the schedule. If there is a legal hold, investigation, audit, information request, dispute, or other instruction requiring preservation, normal destruction may need to be suspended.
Secure Disposal
Deleting a shortcut or moving a file to a recycle bin may not securely destroy information. Organizations need disposal methods appropriate to the sensitivity and storage medium.

Paper containing sensitive information may require secure shredding or an approved confidential-waste service. Electronic information may require controlled deletion, secure erasure, cryptographic methods, or physical destruction of media, depending on system design and organizational policy. Disposal actions may also need authorization and a log.
Backup Is Not the Same as Archiving
A Backup is mainly designed to restore systems or data after loss, corruption, attack, or technical failure. An archive is designed to preserve selected information for longer-term access, evidence, or historical value.
Backups can contain many versions of data and may be overwritten according to a recovery strategy. Archives normally apply descriptive metadata, retention rules, access controls, and preservation planning. A good organization may need both.

When you create or receive an important document, ask yourself: What business process does this belong to? Where is the approved storage location? What should the file be called? Which metadata is required? Who may access it? Does it need review or approval? Which version is authoritative? How long must it be retained? What happens when the retention period ends?
This routine turns document management into a daily work habit rather than a separate administrative task.
