Introduction

When you create a story, take a photo, make a presentation, or download a worksheet, your device stores the information in a file. Files can be organized inside folders. A good folder system is like a well-organized school bag: you know where things belong, so you can find them again quickly.

In this aiMOOC, you will learn how to create, name, save, organize, copy, move, search for, delete, restore, and back up files and folders. You will also practise safe habits for shared computers and cloud storage. The examples are suitable for Grades 5–6, but the same ideas work on many computers, tablets, and online storage services.

Files and Folders


What Is a File?

A file is a stored piece of digital information. A file might contain text, an image, music, a video, a spreadsheet, or a presentation. Most files have a file name and a file extension.

For example, in the file name Rainforest_Report.docx, the main name is Rainforest_Report and the extension is .docx. The extension helps the computer recognize the file type and choose a suitable program to open it.

Common examples include text files, image files, audio files, video files, spreadsheets, and presentations.


What Is a Folder?

A folder is a digital container used to organize files and other folders. A folder inside another folder is often called a subfolder.

For example, you could organize schoolwork like this:

School → Grade 6 → Science → Animals → Rainforest_Report.docx

A clear structure reduces searching and makes it easier to understand where each file belongs.


Why Organization Matters

Good file organization helps you:

  1. Find work quickly: You spend less time searching for missing documents.
  2. Stay organized: Related files are kept together.
  3. Protect important work: Backups are easier when important folders are clearly identified.
  4. Work with others: Classmates can understand shared folders more easily.
  5. Avoid mistakes: Clear names reduce the chance of opening, moving, or deleting the wrong file.


Naming Files Clearly

A useful file name tells you what the file contains. Names such as document1 or newfile are hard to understand later.

Better examples are:

A good file name should be short enough to read but specific enough to understand. You can also include a date or version when it is useful, such as Science_Poster_2026-08-12 or Story_Draft_2.

Creating and Saving Files

When you create new work in an app, it may not yet have a useful name or storage location. The Save command stores your work. The Save As command usually lets you choose a different name, location, or file type.

Before saving important work, check three things:

  1. Name: Does the file name describe the work?
  2. Location: Are you saving it in the correct folder?
  3. File type: Is the format suitable for the task?

Saving regularly is a useful habit, even when an app also saves automatically.


Creating a Folder Structure

A useful folder structure groups related items together. For schoolwork, you might begin with a main folder named School. Inside it, you could create subject folders such as English, Mathematics, Science, and Art. Inside each subject folder, you could create folders for projects or units.

Do not create so many tiny folders that the structure becomes difficult to use. A folder is most useful when it collects several related items.

A simple question can help you decide where a file belongs: Where would I expect to look for this file next month?


Copying and Moving

Copying creates another copy of a file or folder. The original stays where it is.

Moving changes the location of a file or folder. A common way to move something is to use Cut and then Paste.

Imagine that you saved Solar_System_Poster in your Downloads folder by mistake. Moving it to School → Science → Space puts it in a more useful location.

Copying is useful when you really need two versions. Moving is better when you only want to organize the original.


Renaming Files and Folders

Renaming changes the name without changing the contents. You might rename Untitled Presentation to Ancient_Egypt_Presentation.

Before renaming a file, check whether you are also changing its extension. On some devices, changing or removing the extension can make the file harder to open. If you are unsure, change only the main part of the name.


Searching for Files

Even a good folder system sometimes needs a search tool. You can often search by:

  1. part of the file name
  2. file type
  3. date
  4. folder location
  5. words inside some documents

A specific search is usually better than a very broad one. Searching for volcano is more useful than searching for project if many of your school files are projects.


Deleting and Restoring

Deleting removes a file or folder from its usual location. Many systems first send deleted items to a Recycle Bin or Trash. Items there may be restorable until the bin is emptied.

Before deleting, ask:

  1. Is this the correct file?
  2. Do I still need it?
  3. Is there another copy?
  4. Is it a shared file that belongs to someone else?

Never delete another person's files without permission.


Backups and Cloud Storage

A backup is an extra copy of important data kept so that it can be recovered if the original is lost, damaged, or deleted.

A backup should not be the only copy of your work. For example, if your only copy is on one USB drive, losing that drive could mean losing the file too.

Cloud storage keeps files on online servers that you can access through an account. Services such as school cloud drives can make sharing and syncing easier. However, you should still follow your school's privacy and account rules.

Never share passwords, and do not place private information in public folders.


Working Safely on Shared Devices

On a shared school computer, be careful with both your own files and other people's files.

Useful habits include:

  1. Sign in only with your own account.
  2. Save work in the folder your teacher recommends.
  3. Do not rename, move, or delete another person's work.
  4. Sign out when you finish.
  5. Ask before using an unfamiliar USB drive or downloading unknown files.
  6. Tell a teacher if a file or message seems unsafe or suspicious.

Good file management is part of responsible digital citizenship.


A Simple File-Management Routine
