Mini description: Write a formal or semi-formal email with a clear purpose, logical paragraphs and an appropriate opening and closing. This course is designed for English as a continued foreign language in the Baden-Württemberg upper secondary level, shared by Basisfach (BF) and Leistungsfach (LF).


Einstieg: What makes an email work?

Before you write, look for three things: Who am I writing to? Why am I writing? What should happen next? A successful email makes these answers easy for the reader to recognise.

Quick start: Imagine you want information about a fictional cross-cultural youth forum. Decide whether you would write to a close classmate, a project coordinator or an unknown institution. Your relationship to the reader changes the register.

Abi-Check Baden-Württemberg 2027

Stand: 03.10.2026. For the 2027 English Abitur in Baden-Württemberg, the official Facherlass names email as one possible target text type in the LF creative/functional writing task. The LF written examination combines listening and writing; the Facherlass gives an overall working time of about 255 minutes including selection time. In BF, writing remains part of course assessment, while the Abitur examination in English is conducted orally when English is chosen as the oral examination subject. BF and LF lead towards the same CEFR target level B2, in parts C1, but differ in text complexity, breadth, depth and expected independence.

BF focus: clear purpose, manageable material, reliable structure, guided revision and mainly AFB I/II.

LF extension: more complex material, independent linking of information, precise register choices, stronger synthesis and more AFB II/III.

Vorwissen: 90-second diagnostic

Without a dictionary, decide which option sounds more suitable in a message to an unknown project coordinator: Hey! or Dear Ms Patel, — Send me the details. or Could you please send me the details? — Cheers or Kind regards. Then explain your choices in English.

If you are unsure, do not translate immediately. First use the situation, then an English explanation, then an English learner's dictionary. German help is the last rescue step.


Listening and Viewing

Viewing task: While watching the BBC Learning English video, note three features that make language more formal. Then decide which of them are useful for email writing and which might become too formal if overused.

BF: collect useful phrases for opening, purpose and closing.

LF: compare the videos' advice. Which recommendations depend on context rather than being fixed rules? Support your answer with examples from the videos, not copied transcripts.

Task: Identify the purpose, the relationship to the reader and three register problems. Do not rewrite the whole message yet. First explain what needs to change and why.


Context vocabulary: meaning before translation

Rule of thumb: One paragraph = one main job. Do not turn an email into one large block of text.


Register: formal or semi-formal?

Register is a continuum, not a list of magic words. A message to an unknown institution normally needs more distance than a message to a project partner you already know.

Too abrupt: Send me the timetable.
More appropriate: Could you please send me the timetable?

Too casual for many formal contexts: Hey, just wanted to ask ...
More neutral: I am writing to ask whether ...

Not every formal email needs complicated grammar. Clear, precise English is usually stronger than unnecessarily difficult language.


Analysis: Purpose, audience, effect

Use the PAE lens:

  1. Purpose: What does the sender want to achieve?
  2. Audience: What does the reader know, expect and need?
  3. Effect: How do vocabulary, sentence structure, paragraphing and forms of address shape the tone?

BF: identify and explain two clear choices.

LF: analyse how several choices work together and judge whether the register stays appropriate throughout the message.


Speaking before writing

Pair task: Student A is a project coordinator; Student B wants to join a fictional international youth workshop. Student B has 45 seconds to explain the purpose and ask two questions. Student A answers and requests one missing detail.

Then switch roles. Use the spoken exchange to decide what belongs in the written email and what can be omitted.

Recording option: A private audio recording can help with self-feedback, but recording is voluntary. Use fictional names and data. Do not upload recordings unless this has been explicitly agreed in your learning setting.


Writing: Build your own email

Scenario: A fictional organisation called BridgeWays Youth Forum offers a weekend workshop on cross-cultural communication. You want to know whether places are still available, what participants need to prepare and whether travel support exists.

Plan first:

  1. Reader and relationship
  2. One-sentence purpose
  3. Two or three content points
  4. Clear next action
  5. Appropriate closing

BF scaffold: Write a concise email with a clear subject line and three purposeful paragraphs. Use the structure table and the vocabulary bank.

LF extension: Add a short material-based element: imagine that an event notice gives two relevant conditions. Integrate both in your own words, connect them to your request and keep the perspective consistent. Do not copy source wording.

Important: The course gives structures and micro-examples, not a replacement essay. Your final email should be independently planned and written.


Mediation: German information, English email

A German school notice states that participants must register by Friday, bring proof of student status and indicate dietary requirements. Write only the part of an English email that communicates these points to an international partner in a natural way.

Do not translate word for word. Select what the recipient needs, reformulate it and keep the email's purpose in view.


Dictionary strategy

Use this order:

  1. Infer from context.
  2. Paraphrase the meaning in English.
  3. Check an English learner's dictionary.
  4. Check collocations and an example sentence.
  5. Use a bilingual dictionary only if the meaning is still unclear.
  6. Re-read your own sentence: does the word fit this register?

In the 2027 LF written examination, the official Facherlass permits an English monolingual dictionary and a bilingual English–German/German–English dictionary.


Feedback: three passes

Pass 1 – Message: Is the purpose clear in the first paragraph? Is the requested action explicit?

Pass 2 – Reader: Is the register suitable? Are greeting and closing consistent?

Pass 3 – Language: Check verb forms, word choice, collocations, punctuation and spelling. Only now polish individual sentences.

A useful peer-feedback sentence frame is: Your purpose is clear because ... One place where the reader may need more information is ... The tone could be more appropriate if ...


Fehleranalyse

Build a personal error log instead of correcting and forgetting.

After feedback, rewrite only the weak section first. Then produce a clean final version.


Digital responsibility and AI

Use fictional names, addresses and organisations in practice tasks. Do not include private personal data. External AI tools are not required for this course and should not be accessed or fed with your material without explicit permission.

If AI-supported material is allowed in your learning setting, check claims and sources, mark the use transparently and make the final linguistic decisions yourself. AI output is not a substitute for your own Abitur-style writing.


Transfer

Rewrite the same core message for three readers: an unknown institution, a teacher you know and a student project partner. Keep the factual content stable but adapt opening, directness, vocabulary and closing.

LF transfer: Add a small conflict of purpose, for example you need information but also want to persuade the organiser to accept a late application. Decide how the email can remain polite without becoming vague.


Abi self-check

Before submitting, ask:

  1. Is my purpose immediately clear?
  2. Have I selected information relevant to this reader?
  3. Does each paragraph have one main function?
  4. Is the register consistent and appropriate?
  5. Is the requested next step explicit?
  6. Have I used source material in my own words where required?
  7. Have I checked language with a dictionary rather than guessing?
  8. Could I explain every wording choice myself?
